
Data migrations are a well-known pain in the ass. The industry has long been noted for the large percentage of failed migration projects, projects that exceed scheduled budgets, and projects that are late. These are typically not the exotic reasons: skipping assessments, unclean data, untested cutovers, and no rollback plan.
The fortunate thing is that the errors are known and thus controllable. The list of 12 data migration best practices is a checklist that successful data migration teams use on every migration project, from a single database to the cloud to migrating after an acquisition.
Data Migration is the transfer of data from a legacy database to a modern platform, on-premises to cloud, or old application to new ERP. It isn’t simply copying files. When properly done, it involves profiling, transformation, validation and controlled cutover.
Not all things are worth moving. Compress, remove duplicate records and discard information that has no value in the business or compliance aspects. Less migration is faster, cheaper and cleaner.
With smaller systems, it will be OK to do everything at once during a downtime window (big bang). Phased or trickle migration (moving in phases with systems running concurrently) is appropriate for complex environments that are always on. It should influence all other decisions, which we’ll go into in depth in our data migration strategy guide.
Moving dirty data only moves your problems and fries them in the new system. Remove duplicates, normalize formats, correct invalid data and complete the records at the source. It’s a saying that was almost created for migrations: “Garbage in, garbage out”.
The ultimate back-up plan is to have a full verified back-up of the source systems. Most importantly, test restoration of the back up. A backup that you’ve never restored is a hope, not a plan.
Define source and target explicit mappings: what goes where, what are the transformations, how do conflicts get resolved. Document it. This document is a gold mine when questions are raised months later (which they will)!
Secure data in transit and enforce access controls on staging systems and cover up sensitive data in test environments. This is true for regulated industries, such as healthcare, finance, where compliance rules (HIPAA, GDPR, PCI DSS) are not just implemented after the migration, but are in effect throughout the migration process.
Conduct a trial using a representative subsample of the load before the full one. A trial migration uncovers mapping problems, performance issues and edge cases that can be fixed at low cost.
Verify field-level accuracy, checksums and record counts. Next, go beyond the data: do application testing and user acceptance testing on the target system. If this data is technically compliant, but stops business processes, it’s a failed migration.
Record the cut-over window in steps: Freeze points, final sync, DNS/connection switches, verification gates. Establish the specific conditions that warrant a rollback and practice a rollback plan. Rollback plans almost always are superfluous to teams with them, and typically are required for teams without them.
Reconcile source and target: counts/totals/key business reports after migration. Engage business users that know what “correct” looks like. There should be a formal sign off, NOT assumed.
The new environment needs performance tuning — different platform, different optimal indexes and configurations. Monitor closely for the first weeks, then decommission legacy systems on a planned schedule (keeping archives per retention policy) so you’re not paying for two environments forever.

Comprehensive pre-migration data assessment and cleaning. The vast majority of migrations fail because the data isn’t known before it is moved — all the downstream components rely on this.
Depending on the volume and complexity of data, its quality and the approach taken, this could take several days to many months. If the assessment is done correctly, you get a realistic timeline, if you don’t do it there, you get an optimistic timeline.
If your team has migrated similar systems before and can absorb the workload alongside daily operations, in-house can work. Otherwise, experienced data migration services reduce risk dramatically — specialists have already made (and learned from) the mistakes you’re trying to avoid.
Use a phased or replication-based approach with parallel running, rehearse the cutover, and schedule the final switch during your lowest-traffic window. Zero- and near-zero-downtime migrations are achievable with the right tooling and planning.
